Deputy Manager Stores

Duties & Responsibilities :
Physically ensuring that staff or self do the stock of all major RM/PM & engineering spares.
Motivating, organizing and encouraging teamwork within the workforce to ensure set physical stock are matching with book stock and daily production requirement for next day production targets are met.
Communicating with other departments especially production to see requirement is given;
Checking the record of actual material given to production and book stock of material. Overseeing stock control and processing orders and physically seeing work in progress with production;
Ensuring storage in correct tanks, quality is maintained as per QA norms, and the SOPs are followed for tanker’s unloading.
Taking part in daily production meeting and follow up on agreed points;
Taking ownership and keeping stock control systems up to date;
Informing and planning future capacity requirements based on storage plans;
Producing regular reports and statistics on a daily, weekly and monthly basis;
Briefing team leaders on a daily basis;
Overseeing the planned maintenance of vehicles, machinery and equipment.
Coordinating with Logistics to ensure that all dispatches and receipt are done during day time and deviation to be reported on daily basis.
Ensure substitution of personnel in factory commercial to ensure smooth flow of incoming material inflow. Inform the factory manager regarding changes in at least 24 hours in advance.
Ensure that stock of utilities like wood, coal and diesel is available for at least one week production and report to top management if stock levels come down. Report will be oral immediate to factory head and in writing 24 hours after reporting if no action is taken.
Plan, organize and supervise the maintenance of stores operations including supervision.
Co-ordinate, assign and direct daily weekly, monthly and yearly schedule.
Establish job priorities and time frames of stores staff.
Monitor completion of job assignments through field observation and inspections to ensure compliance with standards and instructions; and revises instructions and timeframes as necessary.
Responsible for training employees on equipment, task procedures, work standards and maintaining frequent stocks.
Serve as representative for all government and statutory compliances.
Maintain appropriate documentation of schedule and reports.
Manage budget of various factory expenses and report deviation to the top management.
Participate and facilitate the meetings which would involve a range of issues for the purpose of conveying or gathering information required to perform functions, appropriate actions and development of recommendations and supporting staff for it.
Review and able to understand the plans and drawings and supervise work progress at factory.
Play the support function in management by preparing and submitting periodical reports.
Providing work directions to the team and ensure SOPs and company policies and procedures are followed.
Completion of the annexure on time and do quarterly reconciliation with the principal job work provider.
